The Annual meeting of Unit Owners of Hastings Terrace Condominium is usually held virtually by Zoom.

At the meeting, four (4) members are elected to the Board of Managers for a one year term. Unit owners interested in serving are asked to submit a written declaration of their candidacy to Garthchester Realty, at least three weeks prior to the Annual meeting the date of which is determined each year, usually in October.

In order to conduct the formal business of the annual meeting, electing the Board Managers, a quorum must be present. A quorum is defined as 51% of the total authorized votes.

To improve the chances of obtaining a quorum at the annual meeting, the Board requests that each owner completes and returns a proxy to the office of Garthchester, even if the owner plans to attend the meeting. The proxy also lists the name of the candidates, for whom you will want to vote for. Only four (4) board members are required. 

The proxy should be assigned to the President of the Board or any other person that will be participating on your behalf. The proxies can always be rescinded if you participate in the meeting, but in the event you are unable to do so, it will help establish a quorum and conduct the business of the annual meeting.
